Herschel can export data in a format that can be imported by Sage 50 or Sage 100.  


It's important to remember that once some data has been passed to Sage, Herschel marks it as "exported" and will not export it again. If the import into Sage doesn't work, don't panic.  You can tell Herschel to unmark the data.  Pressing the undo button reverses the process and allows you to sort out any problems and try the export again:



Importing Sales Invoices


The steps necessary to transfer sales invoice information to Sage are as follows:


1 Make sure that each customer's account code is the same in Sage and Herschel.
2 In Herschel enter each customer's default nominal accountdepartment and tax code.  For more information on what values should go in these fields see the helpfile in your Sage system. The defaults you enter for a customer will be used by Herschel for every invoice for that customer. 
 Enter sales orders and despatch goods as normal using Herschel's Sell module.
4 When you want to export to Sage, run the Sell module's despatch summary & transfer option. This will create a report of new invoices and also create a data transfer file for import into Sage. Don't close the despatch summary & transfer window yet!
5 Import the data transfer file using Sage's import option. The import type is "transactions" and the file to import is called \HERSCHEL_V12\SAGE\SELLINVS.CSV
6 Before it actually writes the data into its files, Sage will check it. If there are no errors then the data will be accepted and read in and you can close the despatch summary & transfer window.
7 If Sage errors do occur you should press the undo button in Herschel's despatch summary and transfer window.  Then fix the errors (which could be in either system). Then run the Herschel Sell module's despatch summary & transfer option again and retry the import into Sage.

 

Importing Purchase Details

 

The steps necessary to transfer purchase receipt information to Sage are as follows:


1 Make sure that each vendor's account code is the same in Sage and Herschel.
2 In Herschel enter each vendor's default nominal accountdepartment and tax code.  For more information on what values should go in these fields see the helpfile in your Sage system.  The defaults entered for a vendor will be used by Herschel for each purchase receipt for that vendor.
3 Enter purchase orders and receive goods as normal using Herschel's Buy module.
4 As purchase invoices arrive from your vendor use the Buy module's clear receipts options to record that the purchase receipts have been approved for payment.
5 When you want to export to Sage, run the Buy module's receipts summary & transfer option.  This will create a report of new receipts and also create a data transfer file for import into Sage. Make sure you select only receipts that have been cleared for payment. Don't close the receipts summary & transfer window yet!
6 Import the data transfer file using the Sage's import option. The import type is "transactions" and the file to import is called \HERSCHEL_V12\SAGE\BUYINVS.CSV

Editing The Import Files


As the SELLINVS.CSV and BUYINVS.CSV files are CSV format, they can be opened and tweaked in Excel before they are imported into Sage.  Note, however, that this could cause a future mis-match between the data in Sage and Herschel, so be careful!
